Let’s gather with faith and expectation as we join in this great adventure. There are many useful pieces of information that will help you as you prepare and plan your WESTPOINT experience. We’ve compiled this additional information below for your convenience.

Camping information

If you’re new to camping but want to stay on site, don’t worry,
there will be lots of friendly people from your church family
around to help you.

The Westpoint site is divided into camping areas for each church to camp together. Camping together as churches is one of the highlights of Westpoint as relationships get built over games and late evening hot chocolate.

We aim to make your camping experience as good and pleasant as possible so rest assured that there will be plenty of toilets and showers around the site.

Please note: Whilst there are electric points around the site, these are for church marquee use only and should not be used by delegates.

Additional note: The cost of camping increases the closer to the event you book. Any bookings after the 31st July 2018 for on-site camping will also not be guaranteed a spot with their church site and may have to camp elsewhere. View our pricing for more information.

Non-campers

If camping isn’t for you, then you don’t need to feel left out. Off-site and day tickets are available and there are plenty of B&Bs and hotels in the area.

Day tickets

Day visitor tickets are available for sale before the event or at the gates. We recommend arriving in plenty of time to allow for parking and traffic.

Booking information

Cancellations and alterations

Before 30th June, you can cancel or amend your booking. If you are cancelling you will receive a full refund minus a £15 admin fee. After 30th June, we regret that no refunds will be given.

Substitutions

Bookings are not transferable and are valid only for the individuals booked in at one time. Personal and medical information on your booking means bookings are non-transferable to anyone else.

Offsite delegates

There is no facility for Non Camper and Day Visitors to have a tent on site, we would encourage you to make use of a church marquee to socialise and eat with your church if you should need. Anyone wishing to pitch a tent should book in as a camper. Non campers and Day Visitors should arrange their own accommodation off site.

Children and Youth

All under 17’s must book in with an adult who will be responsible for them at all times during the event. If delegates are aged 18 they can choose to attend as an Adult or Youth delegate.  Selecting Youth would allow them to attend the Youth programme but will need a designated responsible adult listed on their booking. Selecting an Adult ticket as an 18-year-old will mean they will not be allowed to attend the Youth meetings or activities.

Arrival and departure

Times

Arrival is from 10:00 – 22:00 on the Thursday. Cars must be removed from the site by 22:00 and parked in the appropriate car parks.

Departure is from 07:00 – 12:00 on the Monday.

Please note, vehicles will not be allowed on site outside of these times.

Late arrival and early departure

Late arrival and early departure will only be permitted in exceptional circumstances, which must be communicated to the Commission Events team by 9th August. Please note that it is unlikely that those who require late arrival or early departure will be able to camp with their church.

Site information

Bikes

Whilst you are welcome to bring a scooter or skateboard, ridden bicycles are not permitted on site for health and safety reasons. There will be off-site bicycle rides as part of the Festival activities, we ask that you push and don’t ride your bike across site to reach your departure location.

Vehicles and parking

Cars should be removed to the main car park and other vehicles to the ‘oversized vehicles car park’ as soon as they are unloaded, and by 22:00 Thursday at the latest. They will only be permitted
back on site from 07:00 Monday. Any vehicular access outside of these times will only be permitted
in exceptional circumstances, by prior arrangement with the Events Team. For all enquiries, contact us.

Please note these movement of vehicle rules also apply to caravans and motorhomes.

Dogs and other pets

Only guide/assistance dogs are permitted on site, no other pets.

Electric hook-up

Please note that electric hook-up for personal use is not permitted. These are for church marquee use and should be arranged prior to the event. Please do not connect your caravan or motorhome to the electric points on the site. Any unauthorised connections will be disconnected.

Fire and BBQs

For safety reasons, only gas BBQs may be used at Westpoint. No open fires of any kind are permitted.

Gates and access to the site

Please be aware that for security reasons, the gates to the site are locked at 23:00 and reopened at 07:30. Road barriers will be put down at the end of the “out of hours” entertainment each evening, blocking any access to and from the car parks.  Access to and from the site outside of these times will only be possible on foot.

Generators

Generators are not permitted on site. Please refrain from using them at any point.

Photography and filming

You and your children may be photographed or filmed for use in advertising future events. Please tell the photographer or the Events Team in advance if you or your children do not wish to take part in this.

Quiet on site

Our curfew time is strictly 23:00. Please respect those families who have young children by observing this time.

Safety on site

On arrival, all delegates will be issued with a wristband which must be worn at all times whilst on site. Access to any venue or the site will not be permitted by any person without a wristband. This is to ensure the safety of the site and to protect minors who attend the event.

Accessibility

If you have any accessibility requirements please help us to help you by specifying any needs you may have at the time of booking by checking the “I have an Accessibility need” box and entering some detail in the text box. This will help us to put plans in place to help you as best as possible and helps us make WESTPOINT as enjoyable as possible for you.

In the adult meetings

BSL Interpretation

For those who are hard of hearing, deaf interpretation and electronic note taking will be available during the main meetings and in some seminars.

Hearing loop

A hearing loop will also be in operation during the main meetings and the seminars.

Early Entry

Prior arrangements can be made for individuals to gain access to the meeting venues early to ensure an appropriate seat is available.

Alternative meetings

Count everyone in

At WESTPOINT we are excited to be partnering with ‘Count everyone in’, who are passionate about reaching adults with learning disabilities with the love of Jesus and equipping churches to disciple them in their faith. They have run sessions at WESTPOINT before as well as at several other Christian conferences.

Each morning there will be a session intended specifically, but not exclusively for adults with learning disabilities and on the autism spectrum. There will be sensitively led worship, easy to understand Bible teaching, drama, art craft and much more. No sign up is needed, just turn up on the day and enjoy the fun!

Around the site

Buggy Service

Cars are only permitted on the Westpoint site in exceptional circumstances. A chauffeur-driven buggy service will be on offer to ensure all areas of the site can be accessed by those who are unable to get around on foot.

Disabled Parking

There is also reserved blue badge / disabled parking. This is linked to a regular buggy service which allows greater access to the rest of the site.

Accessible Facilities

For those who wish to camp, accessible toilets and showers are available. For those needing wide accessible showers, we have an arrangement with a local sports centre to use their facilities which can be arranged prior to the event. Please contact us using the form at the bottom of the page should you need to enquire about this. 

Accessible kids’ work

The Ark will be running a group for any children who have difficulty accessing the mainstream kids or youth work, whether that is a result of care, physical, emotional or behavioural needs, or specific conditions. We have an experienced team so you can be sure your children are in safe hands. If your child attends a special needs school, or has specific support to access mainstream school, then The Ark is here for you.

FAQs

We have compiled a range of Frequently Asked Questions (FAQs) to help you in your preparations for WESTPOINT. If you have other questions, please get in touch.

 

When can I arrive on site?

Arrival is from 10:00 on the Thursday.

Please note: all cars should be off site by 22:00 on Thursday evening. In exceptional circumstances cars may be brought on site during the event by prior arrangement with the Events Team.

Can I bring my car on site to leave early?

Whilst you can leave whenever you wish, you will only be able to bring your car on site at the following times:

Thursday 10:00 – 22:00, Monday 07:00 – 12:00.

In exceptional circumstances cars may be brought on site at other times by prior arrangement with the Events Team.

I can no longer attend, can I give my ticket to someone else?

When you book into WESTPOINT, you are booking yourself into the event rather than purchasing a ticket. In addition to this due to medical information on your booking and our Health & Safety policy, bookings are non-transferable.

Can I cancel my booking?

Before 29th June, you can cancel your booking and receive a full refund minus a £15 admin fee. After 29th June, no refunds will be given.

Can I have a tent on-site as a day visitor?

Only those who book to camp are permitted a pitch on site. As such, if you wish to have a pitch you must book in as a camper.

My child is nearly old enough to go to the next age group up. Can they move?

You will appreciate that we have to draw the line between age groups somewhere and wherever that line is drawn, there will be someone in your position asking the same question. Please help us by respecting the age groups and taking your child to the appropriate one. Their date of birth on their booking is also used in case of a medical emergency so we would strongly advise against changing their details.

Is there electric hook-up?

Whilst there are electric points around the site, these are for church marquee use or for medical requirements only, they will need arranging prior to the event. Please do not use these for your personal use in caravans/motorhomes, etc.

Where are the local shops?

The small village of Clyst St. Mary is 0.5 miles away this has some small shops and pubs. A 24-hour Tesco Extra is about a 10-minute drive away (postcode EX2 7EZ). Gas and camping equipment is available from Cotswold Outdoor camping shop (postcode EX3 0QH).

Are there any cash machines on-site?

Yes, in the main arena lobby.

Can I bring my bicycle?

Whilst you are welcome to bring a scooter or skateboard, ridden bicycles are not permitted on site for health and safety reasons. There will be off-site bicycle rides as part of Festival activities.  However, we ask that you push your bike across the site to reach your departure location.

Can I bring my dog?

How can I get involved in running the event?

We love as many people as possible to get involved in helping make WESTPOINT happen and greatly rely on volunteers to make it a success! Check out our Serve and Save scheme for more details or get in touch for any queries.

Can I attend the youth meetings with my youth group as an adult or youth leader?

For safeguarding and legal reasons, only those who have been through the Commission DBS process are permitted to be with the youth in their meetings as they are below 18yrs of age. If you wish to go to the meetings with your youth group, please contact us in advance of the
event for details as to how to go about this.

Is the site secure?

Whilst the majority of the site is enclosed within a fenced boundary with security personnel on the gates, other organisations external to Commission have access to the Westpoint site during the event. As such, parents should keep an eye on their children and all delegates attending are responsible for their own belongings.

What time is the first and last meeting of the event?

The first meeting will start at 19:00 on Thursday evening and the last at 18:30 on the Sunday evening.

My church is not listed on the drop-down menu when I book it, what do I do?

On the drop down menu there is an “Other” option. If you will be coming with a group who wish to camp together please let us know so we can allocate an appropriate sized pitch for you.

I am coming with young children/babe-in-arms. Are there any facilities I can use?

There is a baby change area in the main arena (open 24 hours) and in the Parent and Child Area tent (see Kids Programme).

I want to add someone to my booking, what do I do?

If an additional person is attending the event they will need a new booking to be made in their name. This can be done on the Booking page. Unfortunately, we are unable to “add” individuals to an existing booking.
